1. Information we ask for on our website
When you purchase from HandH Cooling, whether that’s a fully fitted air conditioning unit with installation or any other products or services, we need to collect and store some of your personal details to make sure everything runs smoothly and you get the service you expect.
Below are some examples of the personal information we collect:

- Telephone number
- Email address
- Payment details
- Property type such as a shop or detached house
- Property details such as the number of bedrooms and bathrooms
- Current heating and cooling details
We need to store the information requested during the shopping process in case you decide to make a purchase, as it will be used to deliver and install your new purchase. If you go ahead and purchase our installation service we will ask for some photos of your premises/property. Our engineers use these photos to check through your order and double-check that everything you’ve chosen on our website is the right fit for your property. We need to store these photos so that we can send them to the certified installer who will be performing the work. In the unlikely event of any issues in the future, we store these photos so that we have a record of how the heating/cooling in your premises/property was looking before installation. We store these photos securely for 6 years after your installation date. This is necessary for legal compliance reasons.
After our installer has got your system up and running they will take photos of the completed job so that we can check everything has been done properly and safely. Once the job is signed off by our in-house engineers these photos are automatically deleted from the installer’s mobile application. However, we store these photos securely in our system for 6 years after your installation date in the unlikely event of any issues with your installation.
Finally in order to send out your invoice and keep a record of the transaction we securely store information about your order indefinitely in our accounting systems, for example:
- Your name
- Your address
- Your property type
- Your installation date
- The serial number of your purchase
- The product information of your purchase
- Which other products you purchase
- How much you pay for the service
- How you pay for the service
- Any issues you had with the service
When you obtain a quote from HandH Cooling you provide consent to say that you are happy to receive an email quote and that HandH Cooling can contact you again via email or phone if there are discounts available on certain days within your 30-day quote period. Should your quote be amended during this initial 30-day period you hereby agree to provide the same consent for an additional 30 days from the point at which the new quote is issued.
We don’t process data for any other purposes (such as marketing) without expressly asking your permission.
2. When and how we might contact you
During the process of organising, installing and registering your purchase we may contact you by phone or email in order to check some details, let you know important information about the installation and also check that you are happy with the service after our installer has completed the work.
If you choose to opt-in to receive marketing from us we may get in touch with you by phone or email to let you know about new products and services.
We will only contact you about products & services which we think may be of interest and relevance to you based on your purchase history.
3. Sharing your personal information with third parties
Information we have to share
In order to provide our installation service and conform with UK regulations, we will need to notify the required registrations about your installation. This is a legal requirement. The information we share with them is below:

- Your installation date
- The serial number of your purchase

- A brief description of the work carried out
In order to register your warranty we need to share the following information with them:

For us to be able to better understand our customers and help us to create the best customer experience, we may share your personal information with a 3rd party who combines your personal information (which was provided by you directly) with any information that can be obtained from other third parties, in order to classify our customers into segments, using shopping habits, information regarding your personal or professional interests, demographics, and experiences with our products.
We have a legitimate interest in understanding our customers and what will interest them, enabling us to create the best customer experience. The data we process from third parties will be based on the permission you have given that third party to share your data with us.

If you choose to join our Refer a Friend scheme you will be asked for certain information by our third-party referrals partner MentionMe. They need to store your name, surname, email, postcode and order number to verify that you’ve made a purchase and to fulfil your reward if the referral is successful. These advertisements are provided by HandH Cooling via Google, Facebook, Bing and Yahoo using 'cookies' placed on your computer/devices.
How do I opt out of all remarketing?
You can opt out of interest-based advertising by visiting the Network Advertising Initiative opt out page and following "Manage my browser opt-outs" After you opt out, you will no longer receive ads that have been tailored to your interests but this does not mean you will no longer see our ads online. It means that we will no longer show you ads that have been tailored to your interests.
